Early access · Execution

Pay for the work that was measured, at the rate that was agreed.

Execution carries a project from the BOQ to the contractor’s payment: work orders with locked rates, indents checked against the BOQ, purchase orders, goods received at the gate, stock issued to contractors, the measurement book and the RA bill. A bill can only be drafted from measurements the contractor has accepted.

From BOQ to bill

Eight steps, from the BOQ to the contractor’s bill.

Where margin actually goes

Margin is not lost in one decision. It leaks at each handover: a rate changed after the work order, material ordered beyond the BOQ, a measurement nobody checked, a deduction worked out on a calculator. The loss shows up at the end of the project, when nothing can be done about it.

01
BOQ
Imported from the quantity surveyor’s sheet, saved as CSV. Common column names are recognised, and a corrected sheet updates the lines already there instead of doubling them. Each item can carry its material norms: how much cement and sand a unit of the work takes.
02
Work order
The contractor, item-rate or labour, the BOQ items at their rates, and the deduction terms: retention, TDS, GST-TDS and mobilisation advance. Once it is issued, the rates and terms are locked.
03
Indent
The site asks for material against the BOQ. Within the BOQ it goes straight through; anything over it waits for the project manager.
04
Purchase order
Raised from approved indents. One order can cover several indents, and one indent can be split across suppliers.
05
Gate pass and goods receipt
The truck is logged at the gate and the goods are received against the order, with accepted and rejected quantities recorded separately.
06
Issue to contractors
Material issued to a contractor, and wastage written off. Stock cannot go below zero.
07
Measurement book
The site engineer records the work done, never more than the work order awarded. The contractor accepts or disputes each entry on their own phone.
08
RA bill
Drafted only from accepted measurements, with the deductions from the work order applied. Someone other than the person who drafted it approves it.
The measurement book

The contractor agrees to the measurement on their own phone.

A dispute about quantities belongs in the week the work was measured, not the day the bill is due. Every entry goes to the contractor for a yes or a no before it can be billed.

One link, sent on WhatsApp

The site engineer shares a link for one entry, or for all of a contractor’s pending entries. Copy it, or send it on WhatsApp. No app to install, no login.

Accept or dispute, line by line

The contractor sees each line, its quantity and the BOQ item it belongs to, and accepts it or disputes it with a reason. Or accepts everything at once.

Their answer, on the record

Who answered, and when, is kept on the entry. Each entry can be answered once.

Nobody answers for them

There is no button for your staff to accept a measurement. Only the contractor’s link can, it refuses anyone signed in as your staff, and every answer records where it came from. The link lasts 10 days by default, and you can turn it off at any time.

The RA bill

Deductions from the contract, not from a calculator.

The terms agreed on the work order are the terms applied on every running bill, month after month.

Every deduction from the contract
Retention, mobilisation advance recovery, TDS and GST-TDS deducted, and GST added, all worked out from the work order. The total is rounded to the rupee.
Material on labour contracts
Where you supply the material, anything issued beyond what the BOQ norms allow for the measured work is debited on their bill.
Drafted by one person, approved by another
The person who drafts a bill cannot approve it.
A bill to print and sign
The RA bill and its measurement book abstract print or save as PDF, with previous, this-bill and cumulative quantities and room for signatures.
Part payments, with the UTR
Each payment is recorded with its date, mode and, for bank payments, the UTR, and the bill shows what is still outstanding.
No work left unbilled
A work order cannot be closed while an accepted measurement is still waiting to be billed.
Site and accounts

Made for the site, readable by the accountant.

Patchy signal on site
Indents, goods receipts and measurements entered on a site phone without signal are kept on the phone and sent when the signal comes back.
Exports for your accountant
The bills, and what is still owed to each contractor, download as a spreadsheet.
Zoho Books, if you use it
A connection to Zoho Books is built: contractors and approved bills go across, and payments come back. It has not yet been tested against a live Books account, so we switch it on with you. Execution works without it.
